Lettings & Tenancy Co-Ordinator

Bushey Heath, Herts

About the role

We’re looking for an organised, proactive and customer-focused Lettings & Tenancy Co-Ordinator to join our busy team in Bushey Heath.

This is a key role within our lettings operation, acting as the bridge between our New Business and Property Management teams to ensure a smooth and seamless tenancy journey for both landlords and tenants. From progressing applications and references through to coordinating move-ins and ensuring properties are ready for occupation, you’ll play an integral part in delivering an exceptional customer experience.

As the first point of contact during an exciting stage of the rental process, you’ll support tenants as they move into their new homes, while keeping landlords fully informed every step of the way. This is a varied, process-driven role that combines administration, coordination, customer service and occasional visits to local properties.

Based in our Bushey office, you may also be required to visit local properties and occasionally provide support to other offices within the Group.

Key responsibilities

  • Manage the tenancy progression process from offer agreed through to move-in.
  • Open and maintain accurate property and tenancy files.
  • Submit, monitor and follow up tenant referencing applications.
  • Keep landlords, tenants and colleagues informed of progress throughout the tenancy journey.
  • Coordinate pre-tenancy repairs, maintenance and property preparation to ensure homes are ready for occupation.
  • Ensure all tenancy agreements, terms and conditions and supporting documentation are completed accurately and signed where required.
  • Liaise with third-party referencing providers, contractors and industry software providers to ensure a smooth onboarding process.
  • Assist with arranging inventories, key management, meter readings and other move-in requirements.
  • Respond professionally and efficiently to landlord and tenant enquiries.
  • Ensure all lettings and property management systems are maintained with accurate and up-to-date information.
  • Monitor and ensure compliance requirements and property certification obligations are met.
  • Identify opportunities to promote rent protection products and explain their benefits to landlords.
  • Support invoice processing, record keeping and general administrative tasks.
  • Conduct occasional property inspections and accompany approved contractors when required.
  • Work closely with colleagues across all departments to deliver a seamless customer experience.

What we're looking for

  • A highly organised individual who enjoys working in a structured, process-driven environment.
  • Excellent communication and customer service skills, both written and verbal.
  • Strong attention to detail and the ability to manage multiple tasks simultaneously.
  • A positive, can-do attitude with a willingness to learn and support the wider team.
  • Someone who shares our commitment to delivering exceptional service to landlords and tenants.
  • Ability to work well under pressure and meet deadlines in a fast-paced environment.
  • Strong administrative and organisational skills with a proactive approach to problem-solving.
  • Comfortable working collaboratively across multiple departments and building positive working relationships.
  • Previous experience within lettings, property management, administration or customer service would be advantageous but is not essential, as full training will be provided.
  • A full UK driving licence and access to a vehicle are essential, as the role will involve occasional visits to local properties.

At Castles, we pride ourselves on delivering outstanding service and creating positive experiences for our customers. As a Lettings & Tenancy Co-Ordinator, you’ll be joining a supportive team where your contribution makes a real difference. You’ll receive comprehensive training, opportunities to develop your career within the property industry, and the chance to be part of a business that values teamwork, professionalism and exceptional customer service.

If you’re ready to take the next step (or your first step) in your property career and want to work somewhere that values relationships as much as results, we’d love to hear from you.
